STUDENTS ADMINISTRATION POLICY

Students Residential Life Policy

Students will have the chance to engage in their cultural, social, athletic (sporting), and recreational activities in the halls of residence, in accordance with the regulations issued by the Student Affairs office

  1. Male students residing in the Polytechnic halls of residence may receive only male visitors in the guest rooms.
  2. Female students residing in the Polytechnic halls of residence may receive female visitors and their parents only. Under all circumstances, visits must be only in the designed places and during the specified times set by the Hostel Administration Officer. Furthermore, women student are not allowed to receive visitors in women students’ rooms no matter what their relationship.
  3. Students may stay in the dormitories during the weekends for reasons related to study upon a written approval of the Hostel Administration Officer.
  4. Students residing in the Polytechnic halls of residence must comply with the Polytechnic laws, relevant by-laws, and dormitories internal regulations.
  5. Students must be committed to good behavior towards their colleagues, supervisors and staff working at their hostels. They may not engage in any act or conduct that violates appropriate standards of conduct and behavior.
  6. Students must stay in their assigned room, and may not stay overnight in any dormitory apart from what has been assigned to them, unless prior written approval has been obtained from the dormitory administration. They must also identify themselves to the concerned supervisor for nightly sign-in at times as determined by the dormitory administration.
  7. Students must keep their rooms clean and in order. Furniture available in the room or the apartment shall be placed in the custody of the resident students.
  8. A student will be held individually or collectively responsible, as the case may be, for any loss or damage to the furniture or facilities. A student may not be given clearance, or allowed to relocate to another room, unless he / she makes restitution for damage or other loss of property or compensation thereof.
  9. Students must maintain their personal necessities and belongings and must not leave their valuables in the rooms upon leaving on the weekends or by the end of the academic session.
  10. Students shall comply with the sign-in times to their room assignments as determined by the Hostel Administration Officer. However, in special cases, subject to the approval of the Hostel Administration Officer, a student may make late sign-in for reasons related to study, polytechnic activities or emergencies.

Accountability and Discipline

  1. Students must extend cooperation with the Polytechnic Accommodation and Security Personnel by presenting their IDs and Accommodation IDs upon request.
  2. Students residing in the halls of residence must check-out of the dormitories within a maximum of two days. Non-resident students must check-out immediately after completing their examinations. In case a student fails to check-out on the specified time, he/she shall be charged (₦2000) each day spent in the dormitories.
  3. Students may not stay overnight outside the dormitories, unless prior written approval has been obtained from the dormitory administration.

Similarly, students residing in the Polytechnic halls of residence must observe the following:

  • Must keep their rooms clean and in order.
  • Must not tamper with the accommodation properties and equipment.
  • Must not display any photos, paintings, or logos, and etc. on the walls, doors, or windows for any reason whatsoever without prior approval of the supervisor or the administration.
  • Must comply with water and electricity / power good use regulations.
  • Maintain reasonable quiet showing proper regard for others.
  • Must not bring in private cars inside the accommodations (for female only)
  • Must not bring in children into the Polytechnic halls of residence.
  • Must not bring in pets into the Polytechnic halls of residence.
  • Adhere to the Polytechnic laws, by-laws and all regulations issued by the Registry.

Generally, students are not allowed to engage in any conduct that violates the identity of the accommodation, its equipment and public property. Violators will be subject to the penalties set out in the Halls of Residence By-laws. Students are not allowed to be engaged in any act that is inappropriate to a Polytechnic student conduct. In general, students are not allowed to:

  • Possess or store of all types of weapons, or drinking alcohol, or use of drugs, or smoking inside the accommodation.
  • Use incense burners inside rooms or on any of the accommodation premises.
  • Use gas cookers and any equipment that may lead to the activating of a fire in the accommodation.
  • Bring in any unauthorized electrical equipment without coordination with the supervisor.
  • Keep any materials, or tools, or books, or magazines, or photos that violate public morals and disregard for existing laws, rules and acceptable standards of behavior within the Polytechnic community.
  • Possess and use of VCRs or other projection instruments inside the rooms.
  • Escort a sick fellow female student to the hospital without approval of the concerned departments.
  • Escort a visitor or a graduate student from out of the polytechnic to his/her room or dorm.
  • Release any pamphlets or data unless prior written approval has been obtained from the Hostel Administrator or his designee.
  • Be engaged in a conduct that intentionally obstructs lawful activities inside the Polytechnic accommodation.
  • Unlawful use of cameras or any photograph machine.
  • Leave the Polytechnic campus unless prior written approval from parent is obtained, an exit permit issued by the supervisor, and recorded in designated records.
  • Be engaged in any act or conduct that violates good morals and behavior.
  • All types, forms and means of smoking are prohibited.
  • Use mobile phones attached with cameras. In case a student use it in such a manner that violates public morals and disregard existing laws, rules and acceptable standards of behavior within the Polytechnic community, will be expelled from the Polytechnic.

Without prejudice to the students’ disciplinary by-laws, students will be subject to the following disciplinary regulations set out in these articles in respect of any violations committed inside the Polytechnic halls of residence

  • Any violation of the Polytechnic laws, by-laws and executive regulations issued thereof, or engaging in any prohibited act, shall be considered a disciplinary offense under these regulations and the halls of residence by-laws.
  • In the cases in which a student is charged with committing a disciplinary offense, the halls of residence administrator must provide a written statement of the incident, prepare a preliminary incident report, submit it to the accommodation administrator/manager for initial investigation, and forward it to the Registrar within 24 hours from the incident as to take any action he / she may deem appropriate.

Penalties

Penalties imposed upon students residing in the dormitories include the following:

  1. Verbal or written warning
  2. Warning: first, second and final
  • Dismiss from the dorms for one semester
  1. Dismiss from the dorms for one academic year
  2. Final expulsion from the dorms
  3. Cancellation of student’s registration for one academic semester or more.
  • Permanent cancellation of student’s registration at the Polytechnic
  1. Investigation with the students will be conducted by the person designated by the Registrar. The person who will initiate the investigation with the student may not be a member in the disciplinary committee.
  2. The decision to refer a student to the disciplinary committee shall be issued by the Rector upon submission by the Registrar.
  3. Penalties shall be imposed as follows:
  1. Penalties stated in paragraphs (1) shall be imposed by the Registrar.
  2. The approval of the minutes of the penalties stated in paragraph (i-vii) falls within the Rector’s authority.
  3. The Disciplinary Committee shall have the authority to impose all the penalties stipulated in this document
    1. Penalties set out in items (i-vii) shows above, may not be applied until an inquiry is held with the student, in which his / her statement is taken and his / her defense is presented. If a student, who has received appropriate notification to attend a scheduled hearing, cannot attend a scheduled hearing due to compelling circumstances, or failed to appear without a valid reason accepted by the inquiry authority, he / she loses his / her right for testimony and his / her violation shall be considered without the benefit of the absent person participation.
    2. Decisions of the Disciplinary Committee will be displayed in the dormitories notice board.
    3. Decisions issued by the Disciplinary Committee are final after approval of the Rector. However, a student may submit a grievance to the Registrar through the Hostel Administrator within two weeks from the date of writing notification of the penalty to student or his / her parents or his/her scholarship.
    4. The Management Committee’s decision shall be final in this regard and not appeal to other institute.
    5. Decisions issued with penalties shall be kept in the student’s file in the Accommodation Administration and the Registry. The Deputy Registrar (Student Affairs) will notify the student’s parents / guardian accordingly.

Students Centre:

There will be a designed student center in each unit school that will serve as a focal point for students’ activities.  This center shall be built by the Polytechnic and shall have students’ common rooms, photo studio, dining facilities, saloons, boutique and shopping opportunities of various kinds of items and commodities.  The provision of students’ common rooms and dining facilities would also cater particularly for the needs of those students who might live off campus.  The centre shall be run by the students themselves.

Cafeteria:

Cafeteria and affordable eateries shall be provided at FEDPOLY Daura through public private partnership agreements to be managed by the student affairs unit in line with the Federal Government directives on the provision of catering services to students. It is expected that the cafeteria will cater for the students needs providing them with qualitative food at reasonable and affordable rate.

Transportation:

The Polytechnic shall provide transport services for students coordinated by the Student Affairs unit for academic and industrial visits organized by respective school/department as the need arises.
